The Illinois Association of School Boards is seeking a full-time Administrative Assistant to the Communications and Production Services department in our Springfield, IL office.

The position assists the department with various communications and administrative support tasks, including meeting preparation, project planning, queries, development of materials, and promotions. Functions of the job include working with the Associate Executive Director to maintain a department calendar and ensure projects are updated and carried out; prepare and proofread text, including flyers, brochures, presentations, signs, and other print and electronic materials; verify invoices and account codes for department expenses; compile expenditure and cost data to assist with the annual budget development; review monthly revenue and expenditure reports; assist with responding to public queries and other information requests via phone and email; maintain a media database and monitor web queries; maintain project files and supplies for the department; and digitize photos and documents for IASB historical archives.

Additional job functions include: publications support to coordinate displays and materials to promote IASB publications; maintain records of sales and promotion efforts; distribution of new board member information; managing advertising accounts for the Illinois School Board Journal and the Joint Annual Conference book, including soliciting new and maintaining existing advertiser relationships; act as liaison to the IASB Service Associates, including maintaining membership records, corresponding with member firms, prospective firms and committee members; coordinate all Joint Annual Conference activities for the IASB Service Associates; plan and execute quarterly Service Associate Executive Committee meetings and the annual business meeting; coordinate the annual Exhibition of Education Environments school design competition and plan the onsite display at the Joint Annual Conference; attend and assist in preparation of the Joint Annual Conference; and coordinate the Association’s awards and plaques service.

A high school diploma or equivalent is required. Associate’s Degree in Communication, Marketing or Business Administration is preferred. Additional experience in Communications, Marketing or Business Administration is desirable. The position will report to the Associate Executive Director of Communications and Production Services.

Required Competencies include knowledge and proficiency in Microsoft Office 365 programs (Word, Excel, PowerPoint); strong oral and written communication skills and organizational skills; attention to detail; creative ability, problem-solving, and proofreading skills; ability to work individually and prioritize tasks; capacity to function and collaborate in a team environment; and capability to be trained to operate internal database systems, publishing software, and production equipment.

Occasional evening and weekend work, as well as occasional travel and overnight stays are required.
